{"id":3271,"date":"2010-02-04T09:00:23","date_gmt":"2010-02-04T17:00:23","guid":{"rendered":"http:\/\/www.gtdtimes.com\/?p=3271"},"modified":"2014-07-25T17:03:59","modified_gmt":"2014-07-26T00:03:59","slug":"onenote-and-activewords-ferrari-fast","status":"publish","type":"post","link":"https:\/\/gettingthingsdone.com\/2010\/02\/onenote-and-activewords-ferrari-fast\/","title":{"rendered":"OneNote and ActiveWords &#8212; Ferrari Fast"},"content":{"rendered":"<p><em>A Community Contribution from Ryan Oakley<\/em><\/p>\n<p>Whether you\u2019re a   proficient OneNote user or just started using it after reading my GTD and OneNote <a href=\"http:\/\/www.gtdtimes.com\/2010\/01\/07\/gtd-onenote\/\" target=\"_blank\">article posted on GTD Times<\/a> it doesn\u2019t take long to populate the software with a tonne of pages and a tonne of information (yes, I am Canadian).<\/p>\n<p>First, some definitions:<\/p>\n<p><a href=\"http:\/\/office.microsoft.com\/en-us\/onenote\/HA101656661033.aspx\" target=\"_blank\"><span style=\"text-decoration: underline\">MS Office OneNote 2007<\/span><\/a> is a digital notebook that provides people one place to gather their notes and information, powerful search to find what they are looking for quickly, and easy-to-use shared notebooks so that they can manage information overload and work together more effectively.<\/p>\n<p><a href=\"http:\/\/www.davidco.com\/redirect.php?id=dacDDAAVV6OAWEDG1BI\" target=\"_blank\"><span style=\"text-decoration: underline\">ActiveWords<\/span><\/a> is a Windows application that relates words and actions, giving you instant access to what you want, making you more productive, and improving the quality of your work. <em> (Editors note: ActiveWords was also featured in a <a href=\"http:\/\/www.gtdtimes.com\/2009\/07\/07\/driving-in-the-fast-lane-with-activewords\/\" target=\"_blank\">podcast by David Allen<\/a>.)<\/em><!--more--><\/p>\n<p>For quick access to all your <em>stuff<\/em>, OneNote allows you to organize things really well into Books, Sections, Pages, and Sub-pages and they provide a nifty search box and tagging capabilities.  But those are like driving a Honda Civic &#8211; good, reliable, and gets you from A-B &#8211; but what I really want is a <em>Ferrari<\/em> \u2013 fast, exciting, and the envy of all my colleagues (OK, that last one is a bit of a stretch).<\/p>\n<p>Enter ActiveWords (I\u2019ll wait while you head back up to the ActiveWords definition).  OK. Still don\u2019t really understand what ActiveWords does?  Maybe this will help\u2026<\/p>\n<p>ActiveWords allows me to do Ferrari like things.  (Keep in mind that ActiveWords works <em>on top of<\/em> windows so I can do any of the following while working in any program):<\/p>\n<ul>\n<li>Open software such as Google Earth by typing \u201cEarth\u201d F8,<\/li>\n<li>Open the GTD Times website by typing \u201cGTDT\u201d F8,<\/li>\n<li>Ditto for \u201cGmail\u201d F8 (yes, ActiveWords has replaced marking favourites for websites)<\/li>\n<li>\u201cCal\u201d F8 to open up Outlook Calendar<\/li>\n<li>\u201cT\u201d F8 to create a new outlook task (even if Outlook isn\u2019t open!)<\/li>\n<li>\u201cProjects\u201d F8 to open up my projects folder buried deep in windows explorer<\/li>\n<li>\u201cCFS\u201d F8 to open up an excel file buried even deeper in windows explorer<\/li>\n<\/ul>\n<p>In a nutshell, it moves me away from my mouse and using menu\u2019s and allows me to use shortcuts on the keyboard with words that are intuitive rather than having to memorize things like \u201cctrl-shift-y\u201d (No, I don\u2019t know what that shortcut does &#8211; if anything)<\/p>\n<p>So here\u2019s how you can use ActiveWords to transform OneNote from a Honda Civic to a <em>Ferrari<\/em>.<\/p>\n<p style=\"text-align: left\">Let\u2019s say you\u2019ve got a OneNote page that you access quite frequently.  In my case, and in this example, it\u2019s my <a href=\"https:\/\/secure.davidco.com\/store\/catalog\/Weekly-Review-p-16165.php\" target=\"_blank\">GTD Weekly Review<\/a> page:<a href=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan1.jpg\"><img fetchpriority=\"high\" decoding=\"async\" class=\"size-medium wp-image-3281 aligncenter\" title=\"Weekly Review in OneNote\" src=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan1-277x300.jpg\" alt=\"\" width=\"277\" height=\"300\" \/><\/a><\/p>\n<p>My goal is to access this page in less than 2 seconds no matter where I may be working in Windows (aka I want to be <em>Ferrari<\/em> fast).  To achieve this, we\u2019ll need to create an ActiveWord.  So buckle up and we\u2019ll get started.<\/p>\n<ol>\n<li>Go to the page in OneNote where you want lighting speed access \u2013 \u201cMy GTD Weekly Review\u201d, in this example.<\/li>\n<li>Right-click on the page and select \u201cCopy Hyperlink to this Page\u201d (see screen capture below) \u2013 Note that hyperlinks can be created in OneNote for books, sections, pages, sub-pages and even text or objects on a page. <a href=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan2.jpg\"><img decoding=\"async\" class=\"aligncenter size-medium wp-image-3282\" title=\"OneNote\" src=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan2-300x293.jpg\" alt=\"\" width=\"210\" height=\"205\" \/><\/a><\/li>\n<li>Move your cursor to somewhere (anywhere) on the OneNote page. Right-click and select \u201cpaste\u201d.<\/li>\n<li>Right-click on this newly created hyperlink and select \u201ccopy hyperlink\u201d (see screen capture below)<a href=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan3.jpg\"><img decoding=\"async\" class=\"aligncenter size-medium wp-image-3283\" title=\"OneNote example\" src=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan3-300x139.jpg\" alt=\"\" width=\"300\" height=\"139\" \/><\/a><\/li>\n<li>Type \u201cAdd\u201d then F8 to start the ActiveWords \u201cAdd\u201d wizard, select \u201cOpen a Document\u201d, and then click \u201cNext\u201d. (See screen capture below)<a href=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan4.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-medium wp-image-3284\" title=\"activewords\" src=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan4-300x230.jpg\" alt=\"\" width=\"300\" height=\"230\" \/><\/a><\/li>\n<li>Right-click and paste the hyperlink into the top dialogue box.  Good habit to get into is to add a quick description while you\u2019ve got the chance \u2013 e.g. \u201cOpen \u2013 My GTD Weekly Review OneNote page\u201d.  It helps you search for the ActiveWord if you ever forget it.  Then click \u201cNext\u201d. (See screen capture below)<a href=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan5.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-medium wp-image-3285\" title=\"ryan5\" src=\"https:\/\/gettingthingsdone.com\/wp-content\/uploads\/gtdtimes\/2010\/02\/ryan5-300x229.jpg\" alt=\"\" width=\"300\" height=\"229\" \/><\/a><\/li>\n<li>Now determine your ActiveWord for this task \u2013 could be \u201cGTDWR\u201d, or \u201cWeekly Review\u201d, or something simple like \u201cWR\u201d.  Then select \u201cFinish\u201d.
